Our client manages a large portfolio of SME credit exposures across multiple countries through a network of partner financial institutions. Each month, these partners submit utilisation reports containing hundreds of loan records that must pass a compliance checklist before positions can be approved and reported.

The challenge

The review process was entirely manual. Analysts worked through each file row by row, checking records against an increasingly complex ruleset, flagging failures, and writing justifications by hand. As submission volumes grew, the team was spending weeks on work that should take hours, and consistency suffered as the rules became harder to apply uniformly at scale.

The compliance checklist itself kept evolving. New rules were added as the portfolio expanded into new markets and product types, but the process for applying them stayed the same: open the file, read each row, check it against the latest version of the rules, and write up the result. At scale, that approach was no longer sustainable.

What we built

We designed and delivered a full-stack validation portal that automates the compliance review process end to end. Analysts upload a submission file, the system evaluates every record against the active compliance checklist using a large language model, and results are stored with structured justifications ready for review.

Three-state classification

Rather than forcing a binary pass/fail outcome, the system returns results as PASSED, FAILED, or INCONCLUSIVE. The third state surfaces ambiguity explicitly when data is incomplete or a rule cannot be applied with certainty. This turned out to be one of the features the team valued most: instead of guessing, analysts could focus their attention on the records that genuinely needed human judgement.

Configurable compliance rules

The compliance checklist is fully configurable. Admins can add, modify, or retire rules without code changes as regulatory requirements evolve. This means the system stays current as the portfolio expands into new markets and product types, without requiring a development cycle for every rule change.

Portfolio visibility and audit trail

A portfolio dashboard gives leadership real-time visibility of compliance quality across all partner institutions. The system also includes duplicate detection and a full audit trail for data integrity, so every compliance decision is traceable. Role-based access control with SSO authentication keeps sensitive financial data appropriately secured.

The result

Review time dropped by over 80% per monthly cycle, and 20+ partner institutions are now processed through the portal. Beyond the time savings, AI-assisted review brought a consistency the team hadn’t had before: every record is evaluated against the same ruleset in the same way, eliminating the variability that comes with manual review at scale.

The structured justifications give the institution an audit-ready record for every compliance decision, something that was difficult to maintain when justifications were written by hand under time pressure. The system has been running in production and continues to process submissions each month as the portfolio grows.
